This is the list of Tournament Staff  (“TS”) jobs available for HARO Tournament. TS are volunteers at the Membership level, for schools with 4 or more teams at tournament (including primary teams).

Jobs are assigned on first come first served basis. Make your selection among the open jobs (marked “unassigned”), and RSVP by email to one of two orientation sessions to houstonvols@txodyssey.org. When all these positions are filled, remaining TS will be asked to help all day at tournament. All TS working on tournament day are allowed and encouraged to take a break to enjoy their child’s team perform.

Jobs are listed below in the chronological order that they take place. Some jobs are before or after tournament day.

Paperwork Check (assigned) 

Responsible to coordinate some all-day/judge volunteers who will review the competing teams’ paperwork after they go through registration. Requires at least 2 years in the Odyssey of the Mind program as a parent, coach, judge or other. Will perform additional duties in the afternoon after close of Paperwork Check,
ESTIMATED EFFORT: 7 am to 3 pm on tournament day. TS can take a break on tournament day to enjoy their child perform.

Problem Supplies TS (on hold for 2024)

Responsible for preparing problem buckets for tournament supplies. Check stopwatches. Purchase supplies if necessary. Help create problem captain materials files. For this job, orientation will take place at the storage unit (Live Oak St. near Shell Energy soccer stadium), on a day mutually agreed.
ESTIMATED EFFORT: Two half days for inventory and then replenishing, as well as 3-4 hours administration and communication. Done in January/February.

Tournament Supplies TS (assigned)

Responsible for inventory of tournament carts, including supplies for Officials hospitality, Site set-up, banners & signage, Team check-in and Paperwork Check, Thank You table, carts for competition venues, awards and sales carts. For this job, orientation will take place at the storage unit (Live Oak St. near Shell Energy soccer stadium), on a day mutually agreed.
ESTIMATED EFFORT: Two half days for inventory and then replenishing, as well as 3-4 hours administration and communication. Done in January/February.

Thank you Cards TS (assigned) 

Responsible for preparing thank you activity table supplies, and setup table at tournament. Coordinates with 2-hr volunteers when available.
ESTIMATED EFFORT: 2 hours ahead of time. On-site from 9 am to 3 pm approx. on tournament day. TS can take a break to enjoy their child perform.

Storage Unit TS (on hold for 2024) 

Responsible to verify packing list at storage unit on Washington @ Sawyer and secure all carts for transportation, work with 2-hr volunteers to roll wheeled carts onto truck. Coordinate delivery at tournament site in various locations. For this job, orientation will take place at the storage unit, the Saturday before tournament. 
ESTIMATED EFFORT: 2 hours the weekend before tournament. 2-3 hours on the day before tournament.

Food purchase and Friday before Dinner TS (assigned)

Responsible for
a) Purchasing small quantities of fresh food that cannot be included in the large Sam’s club order. This is for Officials Breakfast and Lunch on Saturday. A shopping list will be provided (estimated $150 or less). Receiving and organizing supplies to be delivered by Sam’s Club.

b) Preparation/ordering and set up/clear-up of dinner for Senior Staff preparing Tournament Site (approx. 30-40 people).
ESTIMATED EFFORT: 2 hours advance preparation. 3-4 hours onsite the Friday evening before competition.

Officials Breakfast TS (assigned)

Responsible for breakfast for judges and officials on Tournament Day. Coordinating the ordering, delivery, setup, serving and packing. Taco Cabana (or similar) and coffee. We will have Untrained volunteers available for assistance.
ESTIMATED EFFORT: 1-2 hour to coordinate ordering. Then on-site at Tournament from 6:30 to 10 am. TS can take a break to enjoy their child perform.

Officials Hospitality TS (assigned)

Responsible for room setup, Food prep, serving and clearing up of lunch and snacks for judges and officials. Typically, Chick-Fil-A plus salad bar. Will supervise several Untrained volunteers on tournament day to prep and distribute food and ice as needed, then cleanup and pack all our supplies. There may be a second lunchroom for judges to coordinate, if the tournament uses a second school.
ESTIMATED EFFORT: On site from 9 am to 4 pm approx. on tournament day. TS can take a break to enjoy their child perform.

Pins & T-shirt TS (assigned)

Assist Merchandise Chair with pins sales and t-shirt pre-orders pick-up at secondary sales site or as needed. Must be comfortable using a tablet for sales payments. Assist with inventory and packing at end of day.
ESTIMATED EFFORT: On-site from 9 am to 5 pm approx. on tournament day. TS can take a break to enjoy their child perform.

Team Check-in TS (assigned)

Responsible for supervising team check-in table on tournament day. Every Untrained volunteer is provided with a binder containing all check-in information for a specific problem (this is compiled by TX Odyssey administration). Responsible to explain job to Untrained vols at each shift and provide continuity and assist teams that are running late.
ESTIMATED EFFORT: 7 am to 3 pm on-site on tournament day. TS can take a break to enjoy their team perform.

Volunteer Check-in TS (assigned)

Responsible for supervising volunteer check-in table on tournament day. Provides instructions at each shift change. Manages placement of walk-ins, floaters and high school volunteers. Verifies and issues Community Hours certificates for HS volunteers. Covers last minute needs. The Volunteer desk also acts as general Information desk. Coordinate Thank You cards booth volunteers.
ESTIMATED EFFORT: On-site 7 am to 5 pm on tournament day. TS can take a break to enjoy their team perform.

Hallway Patrol - Safety TS (open - 1 of 2 positions)

Responsible for supervising 2-hr vols working hallways and addressing safety concerns inside and outside of tournament building. Explain jobs at shift changes. Make sure props are only allowed in building one hour before performance and stowed against walls. Watch for unacceptable behavior.
ESTIMATED EFFORT: On-site from 8 am to 3 pm approx. on tournament day. TS can take a break to enjoy their team perform.

Tear down and packing (assigned)

Responsible to coordinate the volunteers who will tear down each venue to ensure that nothing is left behind. Supervise packing of supplies, permanent signage, electrical supplies, pins & t-shirts. Manage loading of our moving truck. Supervise offload and storing at warehouse. Good option for a Dad from a Primary team (not attending Awards).
ESTIMATED EFFORT: 3-4 hours Saturday afternoon at end of tournament (typically 3 to 7 pm).

Transportation TS (on hold for 2024)

Responsible for driving our rental truck that will carry supplies to and from the tournament (volunteers will be available for loading/unloading). Sample route: Pick up rental truck, meet team at warehouse to load problem buckets, merchandise carts, awards, etc., pick-up pre-ordered drinks from Sam's, then go to tournament site. Then return to warehouse (Washington @ Sawyer) and return rental after tournament. Must be able to drive large box truck and be in good shape, and wear appropriate attire. Our long-time driver was an OM Mom and did a great job for 3 years!
ESTIMATED EFFORT: 4-5 hours the Friday before tournament, 2-3 hours evening of tournament or Sunday morning after tournament.

Awards TS (assigned)

Inventory/ordering of medals. Builds approx 30 trophies from kits. Coordinates setup of award trophies and medals. Hangs OMer sign. Packs-up (including OMer sign) and ensures everything is loaded in trucks after ceremony. Prepare Thank You Cards for Staff. Follows up with teams who were not present to collect awards or medals. Follows up with tied teams to get their trophies engraved.
ESTIMATED EFFORT: 3-4 hours from home in February. 3-4 hours on tournament day before and after Awards ceremony. Follow-up by email for awarded teams who were absent from ceremony.
