Teams and Competitions

  1. Get access to the Member Area and the Portal

Coaches and co-Coaches are welcome in the Portal. All Coach and co-Coaches must be over 18 years old.

WHEN: After your school membership is active for the current year.

Do you already have an account from last year? If yes, go here using your email address and reset your password. This is a required step due to a system upgrade in the summer of 2025.

If you are new or the system does not recognize your email, create a new account.

TIP: do NOT use generic or shared emails for your coach login. Use your individual email address (personal or work).

Fill these settings carefully, otherwise you cannot get access to your membership:

  • Select the correct Texas region

  • Select the county that your school is in.

  • For “Role in the Organization”, Coaches and co-coaches must select the “Coach” role.

After your account is created, the system says that No Active Membership Is Found - IT IS NORMAL if you are not the district/school coordinator. Wait until you are associated with your school membership.

TIP: Once you have an account, let your OM coordinator know. They will add you to the school membership, if it is already active. The whole process may take a couple days due to internal workflows. You will not get access to the membership tab, that is for the Coordinator, but you should see the Team tab.

RESULT: You now have access to two zones on the OdysseyHQ website:

a) Bookmark the Members-Area for long-term problems, forms and all materials:

2. Create your team (problem and division)

WHO: The Head Coach. NOT the school coordinator.

WHEN: After your OM Coordinator has confirmed that you are assigned a specific problem (September)

Login to the portal. Navigate to Teams. Click on Create Team.

Confirm your school, problem and division. Done!

You also have direct access to your long-problem there.

3. Create your team roster

WHO: The Head Coach

WHEN: As soon as you start discussing the long-term problem with the team (September to mid-October).

Login to the portal. Navigate to Teams. Click on Add Member.

Provide First Name. Last Name and grade. Provide any disabilities. Save changes. Repeat until a maximum of seven.

Tip: TEAM MEMBER NAMES CANNOT BE CHANGED once you have entered them. You can use a “preferred name” for team members, but you need to also know the “legal name” in your coach records.

If you start your team with fewer than 7 members, you can come back later and add another member - up to the time that you accept the invitation to Competition. After that time, you can no longer add a member yourself.

You can also add a co-coach to the team roster.

It is the responsibility of the Head Coach to create and maintain the team roster in the portal, even if they have communicated information to the OM coordinator.

4. Register for competition

Caution: txodyssey website instructions for local Texas competitions supersede the instructions you may see in the OdysseyHQ portal

WHO: The Head Coach

WHEN: After you receive an invitation by email, by the deadline of Dec 15th, 2025. Or, if you suspect that the email was intercepted by a spam blocker,  you can register when you see your local Competition link at the bottom of your Team screen in the portal.

PREPARE:

●       Review your team member names to ensure they are properly listed under your team.

●       Obtain any disability or team names/problems where you have sibling-on-another-team.

●       Verify that you are registered under the correct division

●       Important note: After you finalize your competition registration, you will no longer be able to add more team members.

REGISTER:

  1. Please READ ALL STEPS before your fingers start the process.

  2. Login to the portal. Do NOT go to the Events tab.

  3. Go to Teams, under your team, click on Details.

You will see a new entry at the bottom under Competitions.

Click on your Regional Competition. You will see two large buttons near the top to Decline Invitation or Finalize Registration. IGNORE THEM FOR NOW.  This will be the last step. Complete the next steps first, before you finalize your registration.

  1. For each Team Member, click on Register. Review the member information brought over. In addition, you can enable the disability box to enter information at this stage. If a single member has a conflict, you can enter it here. Most scheduling conflicts should be entered on the coach record.

    DO NOT MISS THIS STEP or they will not be brought into the competition record.

  2. Repeat for each Team Member, whether or not they will be present at the regional or state competition.

  3. Repeat for the Coach. Enter all team-level qualifying scheduling requests

  4. Note: Teams can request scheduling accommodation for supported situations such as:

    1. Coach on multiple teams

    2. Siblings on other team(s)

    3. Academic exams

We regret that other conflicts and extracurricular activities cannot be accommodated.

Once all your information is correct, you can click on the green “Finalize Registration” button.

After you register, you may see a purple “Off Campus” tag next to each name. You can ignore it because we do not offer On Campus accommodations in Texas. This is intended for World Finals only.


Your Team Volunteers:

Judge Registration opened in November through Google Forms - NOT through the portal.

Volunteer Registration will open between mid-January and early February, depending on your region.
